SmartSchs Ghana respects the privacy of schools, administrators, teachers, parents, students and visitors who use SmartSchs services.
SmartSchs may collect account information, school information, user profile details, class records, attendance records, payment records, communication logs and technical usage data needed to provide school management and online learning services.
We use information to provide SmartSchs features, process subscriptions and payments, support school administration, improve platform security, send authorized notifications, provide customer support and maintain service performance.
SmartSchs Ghana uses approved third-party payment processors, including Flutterwave and Hubtel, to securely process online payments for subscriptions, renewals, wallet top-ups, SMS credits, module purchases, and other paid services.
When a user makes payment through our platform, we may share necessary transaction information with the selected payment processor. This may include the payer’s name, email address, phone number, payment amount, currency, transaction reference, and payment status.
Payment processors may also collect and process payment-related information directly in order to authorize transactions, prevent fraud, comply with regulatory requirements, and complete payment settlement.
SmartSchs Ghana does not store customers’ card PINs, mobile money PINs, full card details, or sensitive payment authorization credentials on our servers.
SmartSchs uses Google OAuth only when a school administrator connects a YouTube account for SmartSchs Live recording storage.
When authorized, SmartSchs uses the YouTube upload permission to upload SmartSchs Live class recordings created inside the SmartSchs platform to the connected YouTube channel.
SmartSchs does not read, list, edit, delete, or manage existing YouTube videos on the connected account. SmartSchs stores the YouTube video URL returned after upload so authorized school users can replay the recording inside Live Class Reports.
Schools may disconnect their YouTube account from SmartSchs at any time.
SmartSchs’ use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
SmartSchs may access limited Google account information when a school administrator chooses to connect a Google or YouTube account to enable SmartSchs Live recording uploads.
SmartSchs only requests the permissions required to upload SmartSchs Live class recordings to the YouTube channel connected by the school. SmartSchs does not access, read, edit, delete, or manage existing YouTube videos, playlists, comments, or channel content beyond the permissions granted for recording uploads.
SmartSchs stores only the OAuth authorization information required to perform authorized YouTube uploads and the YouTube video URL returned after a successful upload. SmartSchs does not store YouTube passwords.
OAuth access tokens and related authorization information are stored securely only for as long as required to provide the YouTube upload functionality. Connected schools may disconnect their Google account at any time.
Uploaded videos remain on the school’s YouTube channel and are subject to the school's own YouTube account settings and policies.
Schools may revoke SmartSchs access to their Google account at any time by:
Disconnecting the Google account from SmartSchs Live settings.
Removing SmartSchs access from Google Account Security settings.
Contacting SmartSchs support and requesting deletion of stored authorization data.
Upon disconnection or a verified deletion request, SmartSchs will remove stored OAuth credentials and authorization tokens associated with the connected Google account within 30 days, except where retention is required for security, legal, or compliance purposes.

SmartSchs does not sell school or user data. We may share information only with authorized service providers needed to operate the platform, comply with legal obligations, prevent fraud or provide requested services.
We apply reasonable administrative, technical and organizational safeguards to protect user data and school records from unauthorized access, loss or misuse.
